I did the foundations course over about two weeks, fitting in one module per session after work. The section on version control was particularly useful — we had a persistent problem with multiple versions of the same form circulating across teams. I would not describe myself as technically minded but the content was written clearly enough that the concepts made sense.

Day two was the more valuable of the two — the facilitated build session gave them a focused reason to actually produce something rather than listen. Case Study 01

Procurement team, logistics company — Klang Valley

Programme Build · 10 weeks

Challenge

The procurement team was producing purchase orders, supplier quotation requests, and delivery confirmation notes from a mix of old Word files that had been copied and modified over several years. Different staff had made undocumented changes, and the documents used inconsistent terminology for the same fields. New staff regularly produced non-conforming versions.

Approach

Solven conducted a document inventory in weeks one and two, identifying seven document types and prioritising five for the engagement. Template design sessions were run with two procurement staff who would become the internal owners. All five templates were built with consistent field naming, version stamps, and a shared header convention.

Outcomes

Within one month of handover, the five templates had replaced approximately 80% of the ad-hoc versions in active use. The procurement manager reported fewer correction cycles on outgoing documents. The two internal owners maintain the template set independently using the handover documentation.

Case Study 02

HR department, professional services firm — Kuala Lumpur

Challenge

An HR team of six handled onboarding documents, employment confirmation letters, and leave application forms. Staff produced these manually from memory, leading to inconsistencies when someone was on leave. No template standard had been established. New hires from other organisations often commented on the lack of consistency.

Approach

The team attended the two-day workshop at the KL Eco City training space. On Day 1, they mapped the HR document landscape and identified the onboarding pack and employment letter as the priority documents. On Day 2, two staff pairs built working templates for these two documents under facilitator guidance.

Outcomes

Both templates were in use within three working days of the workshop. The team used the document map from Day 1 to prioritise two further templates in the months that followed, building these independently using what they learned. The HR manager noted that the shared vocabulary from Day 1 made internal discussions about documents noticeably more efficient.
